5 Tips for Ongoing Communication with Families Throughout the School Year

The start of a new school year is an exciting time for everyone, but it’s just the beginning! The beginning of the year can be full of helpful and exciting communication. Once the routine settles in, communication can slow down or grow stale. Maintaining open lines of communication with families throughout the year is crucial for fostering a strong, supportive community.  

Successful parent communication is proactive, frequent, informative, and inviting. If you are only communicating about unexpected situations, late payments, or when a child is sick, then every time a parent sees a message from you, they will assume it is something negative. We want to be sure we are filling the cup more than we are drinking from it. 

Here are five tips to ensure you’re keeping families informed, engaged, and connected: 

1. Establish a Regular Communication Routine 

Consistency and being proactive are key! Whether through monthly newsletters, weekly emails, or daily app updates, set up a routine that families can rely on. Share classroom highlights, important dates, and reminders to keep everyone in the loop. Families will appreciate knowing when they can expect updates and will feel more engaged. 

2. Use Multiple Channels 

Every family has different preferences for how they like to receive information. Offering multiple communication channels—email, phone, text, and even social media—ensures that you’re meeting families where they are. Consider utilizing a parent communication app to streamline messages, share photos, and encourage two-way communication throughout the day. 

3. Host Family Events 

Inviting families to events like open houses, celebrations, or family engagement days strengthens the relationship between home and school. These events allow for face-to-face conversations, providing an opportunity to address concerns or share successes in person. 

4. Encourage Feedback 

Create a space where families feel comfortable sharing their thoughts and concerns. Offer regular surveys, suggestion boxes, or open office hours. When families feel heard, they are more likely to stay engaged and trust that their voices matter and their questions will be answered. 

5. Lean into the Joy of Celebrations and Milestones 

Whether it’s a child’s birthday, a teacher’s tenure or professional development milestone, or a student’s classroom achievement, take the time to share and celebrate these moments with families. Don’t wait – send that kind message now! It adds a personal touch that shows you value each child and their family, brightens someone’s day, and fosters a positive relationship throughout the year. 

The key to a strong, healthy relationship between the childcare provider and the family depends upon good communication. Strong communication builds trust and helps families feel like a part of the community. When families people a part of, they’re more likely to recommend your center. Retention rates are more likely to improve when families feel connected through communication.
